Where this policy and the group policy overlap, this one gives the detail specific to bookvisit.com.<\/li>\n<li><strong>Guest data inside the BookVisit platform.<\/strong>\u00a0When our customers use BookVisit to manage their own guests and bookings, we act as a\u00a0<em>processor<\/em>\u00a0on their instructions. Please do not include such information in a form or message to us.<\/p>\n<h2>3. Where the data comes from<\/h2>\n<p>Almost all of it comes from you directly, or automatically from your browser when you use the site. In addition, if you consent to marketing cookies, we receive company-level information from our business identification provider, and engagement data from the advertising platforms we use.<\/p>\n<h2>4. Cookies and similar technologies<\/h2>\n<p>We only place non-essential cookies after you consent. Every cookie we use, who sets it, what it does and how long it lasts is listed in our\u00a0Cookie Policy.<\/p>\n<p>We use Google Consent Mode: before you make a choice, Google&#8217;s advertising and analytics storage is set to\u00a0<em>denied<\/em>, so no Google cookies are written and only anonymous, cookieless signals are sent.<\/p>\n<h2>5. Who we share data with<\/h2>\n<p>We do not sell your personal data. We share it with:<\/p>\n<ul>\n<li><strong>Companies within Visit Group<\/strong>, for the purposes described above.<\/li>\n<li><strong>Service providers acting on our instructions<\/strong>, under a data processing agreement. For this website these are, in particular: our hosting provider; HubSpot (CRM, marketing and forms); Formidable (the demo and contact form service); Google (Tag Manager and Analytics); Microsoft (Clarity); Albacross (business visitor identification); and Meta and LinkedIn for advertising measurement.<\/li>\n<li><strong>Advertising platforms acting as independent or joint controllers<\/strong>\u00a0for parts of the processing, namely Google, Meta and LinkedIn. Their own privacy notices apply to what they do with the data after they receive it.<\/li>\n<li><strong>Professional advisers and authorities<\/strong>, where we are legally required to disclose data or need to establish, exercise or defend legal claims.<\/li>\n<\/ul>\n<h2>6. Transfers outside the EU\/EEA<\/h2>\n<p>Some of the providers above are established in, or transfer data to, the United States (Google, Microsoft, Meta, LinkedIn, HubSpot). Where that happens, the transfer relies on the European Commission&#8217;s adequacy decision for the EU-U.S. Data Privacy Framework where the recipient is certified under it, and otherwise on the European Commission&#8217;s Standard Contractual Clauses together with supplementary technical and organisational measures. You can ask us for a copy of the relevant safeguards using the contact details in section 10.<\/p>\n<h2>7. How long we keep data<\/h2>\n<p>The table in section 2 gives the period for each purpose. When a period ends we delete the data or anonymise it so it can no longer be linked to you. We may keep data longer where we are required to by law, or where it is needed for an ongoing legal claim.<\/p>\n<h2>8. Security<\/h2>\n<p>We apply technical and organisational measures appropriate to the risk, including encryption in transit, access control on a need-to-know basis, and agreements with our processors. No transmission over the internet can be guaranteed to be completely secure, so any transmission is at your own risk.<\/p>\n<h2>9. Your rights<\/h2>\n<p>Under the GDPR you have the right to:<\/p>\n<ul>\n<li><strong>Access<\/strong>\u00a0the personal data we hold about you and receive a copy of it.<\/li>\n<li><strong>Rectification<\/strong>\u00a0of inaccurate data and completion of incomplete data.<\/li>\n<li><strong>Erasure<\/strong>\u00a0of your data, where one of the grounds in Art. 17 GDPR applies.<\/li>\n<li><strong>Restriction<\/strong>\u00a0of our processing in the circumstances set out in Art. 18 GDPR.<\/li>\n<li><strong>Data portability<\/strong>: to receive the data you gave us in a structured, commonly used, machine-readable format, and to have it transmitted to another controller where technically feasible.<\/li>\n<li><strong>Object<\/strong>\u00a0to processing based on our legitimate interests. If you object to direct marketing, we will stop, without exception.<\/li>\n<li><strong>Withdraw consent<\/strong>\u00a0at any time, without affecting the lawfulness of processing carried out before the withdrawal.<\/li>\n<li><strong>Not be subject to a decision based solely on automated processing<\/strong>\u00a0that produces legal effects concerning you or similarly significantly affects you. We do not make such decisions through this website.<\/li>\n<\/ul>\n<p>To exercise any of these rights, contact us using the details in section 10. We will respond within one month, and will tell you if we need longer because the request is complex.<\/p>\n<p>If you are not satisfied, you can complain to a supervisory authority.
